The meeting was called to order by Chairman Bill Terrell at 4:00 PM. Approval of Minutes: John Haley Official minutes of the November 2008 joint meeting were not taken. Notes, however, were prepared and shared with both boards. Motion for approval of October 2008 minutes was made by Linda Chapman and seconded by Bob Jones. Motion passed. Consideration of Absences: John Haley Stuart Ball was excused absent. Collections Committee: Lowell Soucie The Cameron Art Museum requested an extension of the toy exhibit to March 15, 2009. Committee Chair, Lowell Soucie, moved for approval. Motion passed. The final draft of the Collections Policy was reviewed with discussion and approved. The new Image Reproduction Policy was reviewed with discussion. Approval was deferred to January 2009 meeting. Long Range Planning Committee: John Haley The year 2006 needs to be removed from the Marketing category. Wording stands as printed in the Funding category. Wording stands as printed in the Facilities category. The document should be dated in order to properly track future revisions. Changes will be made and the document will be sent to the New Hanover County Commissioners. A breakfast meeting with the Commissioners at the Museum is proposed for the end of January 2009, and will include a PowerPoint® presentation of accreditation documents. 􀀧􀁌􀁕􀁈􀁆􀁗􀁒􀁕􀂶􀁖􀀃􀀵􀁈􀁓􀁒􀁕􀁗􀀝 Ruth Haas Budget restraints with both the Grassroots Sciences and New Hanover County funding are still challenging. Four proposals for the Forest Exhibit fabrication contract have been received and reviewed. Two were rejected. The remaining two companies will present oral presentations of their proposals on January 5 and 6, 2009. CFMA, Inc. Report: Janine Powell The CFMA, Inc. will have a booth at the Wilmington Newcomers Club event on January 8, 2009. The CFMA, Inc. will be advertising in the St. James Plantation Newcomers newsletter. The winter jazz concerts have been received extremely extremely well at the New Hanover County Government Complex. End of the year appeal letters went out on December 17, 2008. The majority of these letters went out via email. Gala invitations are scheduled to go out the week after Christmas. Old/New Business: Bill Terrell Jonathan Barfield, new County Commission, will fill the board vacancy of outgoing Commissioner Nancy Pritchett. Board members agreed to recognize Nancy Pritchett for her years of service to the board. She will be invited back to a future meeting for this purpose. There being no further business Bill Terrell requested a motion to adjourn. Motion was made by Ken Finch and seconded by Bob Jones. The meeting adjourned at 5:02 PM. The next board meeting will be on Wednesday, January 21, 2009 at 4:00 PM in the Williston Auditorium, Cape Fear Museum.
