Williams Also Present: Pat Melvin, Assistant County Manager Ruth Haas, Museum Director Denise Malloy-Hubbard, Development Coordinator Rebecca Dotterer, Education Coordinator Jenean Todd, Exhibits Coordinator Harriet A. Dresing, Administrative Support Specialist, CFM The Cape Fear Museum Advisory Board held its regular monthly meeting on Thursday, October 16, at 12:00PM in the Williston Auditorium, with Mr. Richard Trask, Chairman, presiding. Having no quorum to conduct business at the outset, Ruth Haas introduced Ms. Rebecca Dotterer, CFM Education Coordinator, who provided a listing of the current and upcoming Educational Programs. Collaboratives The film series Research Revolutions, (running bi-weekly on Tuesdays) in partnership with the UNCW-Randall Library; is a history and science-focused film and discussion group which looks at important inventions in science and their history in the 20th Century. Living Southern (February 17, 2004) is a lecture in collaboration with UNCW and the Forestry Museum. The Historic Collaborative is a third-year (March 2004) lecture series presented with Historic Wilmington Foundation, Local Cape Fear Historical Society, and the Bellamy Mansion. History Day (March 2004) provides competitions for middle and high school students. Flavor of the Past is another event involving the local historic community, and NHCS Animal Adaptations, involving Airlie Gardens, the Aquarium, and the Co-operative Extension (in conjunction with the school system), provides teaching kits to 4th-Grade classrooms. Minutes Board of Trustees Meeting October 16, 2003 October 16, 2003 Minutes 2 Ongoing School Programs How Things Work, initially started as a 5th-Grade program, will be extended to include Kindergarten. People of the Past is a 4th-Grade program, and Star lab outreach serves 3rd-Grade. Newly refurbished museum kits (including a number of different hands-on materials and educator guides), offered for booking to Grades K-5th, are generating a lot of interest and revenue activity. The remainder of the list contained the dates of different programs booked from October 2003 to March 2004. Teacher professional development is offered through K-12 and college-level teacher workshops, school system-wide continuous improvement conferences, and special offerings such as the Destiny Teacher Workshop, in connection with UNC-Chapel Hill. Ongoing Programs Girl Scout programming (in its second year), alternating between a natural science and history focus, continues to be well received and revenue generating. On January 31, 2004 the 20th Century Reflections program invites the community in for a discussion on our exhibit and to engage them in conversations about their experiences and reflections. The 20th Century Scholar Lecture Series then continues with a monthly discussion. In March 2004 the adult lecture series continues, along with Cine Noir; and the first large-scale event, Pi-Day, links math and history programs. New Programs Small Fry Friday (first Friday/each month) was a response to requests for a program to reach a younger history and natural science-focused audience (ages 3-5). Family Science Saturday (third Saturday/each month) promotes learning for families. Adult-focused programs, other than those mentioned above, include a Veteran's Day program (Sunday, November 9th) highlighting the Korean conflict. A question was raised from the floor regarding the First Friday Family Jazz at the Museum. Denise Hubbard, CFM Development Coordinator, responded that the Museum had been interested in continuing the Airlie Gardens program (started this Spring) during the winter months. Owen Wexler, a new member of the Board of Associates, arranged a meeting with Sandy Adams, President of the Jazz Society. The Museum will continue this program from November through April from 5:30PM-7:30PM, while keeping the tone and feel of the original event (i.e., bringing blankets, lounge chairs, food, wine, and sitting in the open-space lobby area). Coffee will be available; wine will be sold. An arrangement with downtown restaurants is being set up in which the admission price can be used for a discounted dinner that evening, in an effort to encourage enjoying the event at the Museum and then go downtown. Volunteers will be posted at the gallery entrances to prevent entering with food or beverages, and attendance will be limited to 250 on a first-come, first served basis. This program has a great opportunity to increase membership and bring new people into the Museum. The Board was supportive of the plans for educational programs. At the conclusion of this presentation, a sufficient amount of Board members were present for a quorum. Mr. Richard Trask, Chairman, formally called the meeting to order at approximately 12:25PM. October 16, 2003 Minutes 3 I. Consideration of Absences: 􀀭􀁒􀁑􀁄􀁗􀁋􀁄􀁑􀀃􀂳􀀶􀁆􀁒􀁗􀁗􀂴􀀃􀀦􀁋􀁄􀁖􀁈􀀏􀀃􀀰􀀑􀀃􀀤􀁑􀁑􀀃􀀪􀁕􀁌􀁉􀁉􀁌􀁗􀁋􀀏􀀃􀀭􀁈􀁕􀁕􀁜􀀃􀀤􀀑􀀃􀀰􀁄􀁑􀁑􀁈􀁑􀀏􀀃􀀭􀁕􀀑􀀏􀀃􀀨􀁖􀁔􀀑􀀏􀀃􀁄􀁑 􀁇􀀃􀀥􀁈􀁕􀁑􀁋􀁄􀁕􀁇􀀃􀀷􀁋􀁘􀁈􀁕􀁖􀁄􀁐􀀏􀀃excused. Dr. Barton G. Williams, unexcused. II. Corrections/Additions to September Minutes: Ms. Pritchett made a suggestion to group the attendee listing by classification (i.e., Advisory Board members, Associates representative, Guests), and a correction to Dr. Calloway's first name, which is Clayton. A motion to approve the minutes as amended was made, seconded, and passed. III. Associates Report: Mr. John Perritt opened by thanking the members of the Advisory Board who were present at the opening reception for How Things Work on October 9th. He then invited and encouraged the members of the Advisory Board to become Associate Members, since the goal has always been to have both organizations with full participation. Gala Update: There are still three confirmed sponsors, with four pending. Any information regarding potential individual or corporate sponsors should be forwarded to Denise Hubbard. Ms. Hubbard will be meeting with representative from GE (who were also the corporate sponsor of the How Things Work exhibit) on Thursday, October 23rd, regarding planning of a GE Day at the Museum. The Associates Board has formed a Marketing Committee; some new Board members have a marketing-specific background, among them the General Manager of WWAY. Mention was made that the First Friday Family Jazz Concert program was a vision that originated from a new Board member. Mr. Perritt reminded those present of the joint retreat between Boards and Staff on November 22nd beginning at 8:30AM-4:30PM at the Museum. Gary Krull will attend to guide and facilitate discussion of goals for the activity. Session 1 will be "Who Are We?" involving questions for participants regarding how they came to be present, what is a board, what is the museum, etc. Session 2 involves comparisons of where we are versus where we should be, and where do we want to be in five years. Denise Malloy-Hubbard, Associates staff liaison, invited the attendees to her home for a kick-off cocktail party on Friday night, November 21st, and provided directions and her business card to those present. IV. Other Reports: Ruth Haas invited those present to gather around a model of the 20th-Century Exhibit for a walk-through presentation. She then mentioned that at the 20th-Century Community Conversations program held October 14th a similar walk-􀁗􀁋􀁕􀁒􀁘􀁊􀁋􀀃􀁓􀁕􀁈􀁖􀁈􀁑􀁗􀁄􀁗􀁌􀁒􀁑􀀃􀁚􀁄􀁖􀀃􀁐􀁄􀁇 􀀑􀀃􀀰􀁕􀀑􀀃􀂳􀀷􀁄􀁑􀁎􀁜􀂴􀀃􀀰􀁈􀁌􀁈􀁕􀀏􀀃who was present, remarked that a "reminiscing" session occurred among the Wilmington natives; ideas flowed along the lines of the spaces in the exhibit, and much was added to it (i.e., the October 16, 2003 Minutes 4 history of the schools, medical facilities in the community, transportation, and individuals who have contributed to the community). It was agreed that this program should continue, and additional names were provided for future conversations. The next meeting is scheduled for November 18th from 10:00AM-12:00PM at the Museum. Ms. Haas presented a review of the 20th Century Exhibit budget, which was sent to the members. In an attempt to maximize the allocated funds, a contract has been signed with Hillman & Carr (out of Washington, DC) to do exhibit design work. James Smith, Associates Board member and Vice President and General Manager of WWAY, has agreed to meet with Hillman & Carr to see how WWAY could assist with this project. V. Preparation for Next Meeting: Ms. Haas made a correction to the next meeting date; it will be November 20th. At the meeting, the Museum will be reporting on Collections, Marketing, and Facilities. Mr. Trask stated an ad-hoc Committee meeting will take place in November, and a presentation on the Bylaws will be made at the next meeting. Adjournment: Mr. Trask entertained a motion to adjourn, which was seconded and approved, and the meeting concluded at 12:55PM.
