04-17-20131 Board Members Present: Tucker Stevens Beth Dawson Bill Terrell Nancy Pritchett Ben Woodruff Linda Chapman Gwen Brown Stuart Borrett Allen Trask Nancy Ballard Cox Absent: Jack Mills, Dan Owen and Sandra Sheridan Staff Present: Ruth Haas, Director Barbara Rowe, Curator The Cape Fear Museum Advisory Board held its regular monthly meeting on Wednesday, April 17, 2013 in the Williston Auditorium at the Cape Fear Museum. The meeting was called to order by Secretary Allen Trask at 4:00 PM. Approval of Minutes: Allen Trask A motion to accept the March 2013 minutes as amended was made, seconded and approved without opposition. Consideration of Absences: Allen Trask Jack Mills, Dan Owen and Sandra Sheridan all indicated their inability to attend this meeting and have been excused. Chairman’s Report: Ruth Haas Mrs. Haas reported on behalf of Chairman Mills. Museum memberships are down 4% from this time last year. The Development Coordinator position is still in the budget at this time and fully funded by the county. Tucker Stevens will present the Museum’s annual update to the NHC Commissioners on Monday, April 22, 2013 at 9 am. Associates Report: Ben Woodruff Mr. Woodruff reported that the Associates board is beginning a spring campaign to win back lapsed members. Each board member is making personal calls to a list of lapsed members to encourage them to renew or obtain feedback on why the choice was made not to renew. Special reduced rates are available through the end of May for lapsed members who renew during the campaign. Collections Committee: Stuart Borrett The Collections Committee recommended approval of the proposed lists of acquisitions sent out in the board packet. A motion was made, seconded, and approved without opposition to approve the acquisitions. The Collections Committee recommended approval of the proposed lists of deaccessions sent out in the board packet. A motion was made, seconded, and approved without opposition to approve the deaccessions. The Collections Committee has reviewed the Collections Policy and has recommended the highlighted amendments to the policy. A motion was made, seconded and approved without opposition to approve the amendments to the Collections Policy with minor grammatical corrections. Owen Nancy Pritchett Tucker Stevens Bill Terrell Beth Dawson, NHC Commissioner Ex-officio: Ben Woodruff CFMA, Inc. 2 Program Committee: Linda Chapman No report at this time Strategic Planning Committee: Tucker Stevens Mr. Stevens deferred the report to Mr. Terrell. Mr. Terrell reported that the RFP’s for the Parks Bond project are due on April 10, 2013. There are 5 proposals expected. Following examination and ranking of the proposals and then in-person interviews the contract is expected to be awarded by April 26, 2013. Three Museum staff members will be heading to the Yale Institute in July 2013 for a weeklong conference on 19th century slavery. Director’s Update: Ruth Haas Mrs. Haas reported that the NHC county budget process is on-going. The budget will be presented to the commissioners on April 22nd and the process will move forward from there. The Museum is requesting a fee change in its admission prices. In compliance with the NHC Strategic Initiative and to better serve and target the 0-5 children visitors the Museum is proposing that no fee be charged for children 5 and under. Mrs. Haas reported that there has been no change to date on the 25% cut of the Grassroots Museum’s Science Collaborative funding in the NC budget. If this cut remains this will have a direct impact on the number of students we can serve. Mrs. Haas reported that she is waiting for a response from the NEA Grant for the Big Read project which is expected any day. Mrs. Haas has re-submitted a grant for the Burroughs Welcome Foundation to fund a 3 year junior interpreter program for middle school children.
