Bonner, Patti (FOL) EXCUSED Zimmer, Ronna (LF) PRESENT Tuchmayer, Harry PRESENT Owens, Paige PRESENT The meeting was called to order by Chair, Paul Smith at 2:07 p.m. Public Comment and Agenda Review Public Comment No members of the public were present. Agenda Chair, Paul Smith asked if any members of the board would like to remove or add any item(s) from the Agenda. Under New Business, Policy Review was added. With no other changes, the Agenda was approved. Approval of Minutes of Previous Meeting The minutes from the last board meeting on 5/16/16 were sent to the board prior to the meeting for review. Paul Smith noted that the date listed for the next meeting was incorrect. Motion: John Osinski MOVED, SECONDED by Virginia Teachey, to recommend approval of the 5/16/16 minutes with the corrected date. Upon vote, the MOTION WAS CARRIED UNANIMOUSLY. Minutes 06 16 2016 LAB Page 2 Correspondence Harry Tuchmayer distributed a copy a letter he received from a Germany based scholar who was appreciative of the research support he had received from the North Carolina Room staff. The library has also been the recipient of great press from the local newspaper and TV media. Recently stories have covered our Story Park, Pop Up Libraries, and Park Pages Libraries. Emily Swearingen also noted the press for the upcoming Kids Fest at Kure Beach. Paul Smith added that the Star News also had a wonderful article on Margaret Miles. Friends of the Library Report Paige Owens reported that The Friends are reorganizing their group and their By Laws are being reviewed. The Friends have been working to change their office space at the Main Library into a Volunteer Welcome Center. The room is currently being painted in preparation for the new furnishings and set up. Beach Reads Book Sale will be July 16th at the Northeast Library for 9:00 – 1:00. This sale will consist of mass market paperbacks for 50 cents each. Library Foundation Report No report at this time. Group will met again in August. Director’s Report Harry Tuchmayer distributed the Director’s monthly report at the meeting. In addition to the items covered in the report, he reported on the following:  The library is utilizing circulation software in their collection weeding project. The goal is to keep our collections vibrant and new without sacrificing classics.  Mr. Tuchmayer distributed a graft of Axis 360 circulation & holds from 2014-current as he discussed the various eBook services the library offers and how they are used in our collection.  The Library of the Future LSTA Grant has allowed staff to visit other library systems. They are excited about new and better ways of doing things. These trips have generated some great ideas that we will compile and review with all staff. Committee Reports None at this time. Minutes 06 16 2016 LAB Page 3 New Business Policy Review Paige Owens distributed copies of the Collection Development Policy showing the current & modified version. The modified version will now to cover everything that is related to collection development. This would then be followed by six sections that would go into detail of each collection type. She will forward an electronic copy to all board members for further review and discussion at the next meeting. Upcoming Schedule of Meetings This topic will be tabled until the next meeting in August. Old Business New Myrtle Grove Library Architect Selection The committee met with five architect firms and all were scored individually. The two clear leaders were Vines & Ratio. Both are great teams with lots of library build experience and have a library expert on staff. References are being checked now by Harry Tuchmayer and Kevin Caison, NHC Facilities Project Manager. Harry Tuchmayer stated that the county has received rights to the retention pond by our site. This means that we will be able to use the site more effectively without losing space for water retention on our lot. We will also be looking into more ways that we can create an environmental learning space. Paul Smith suggested that all board members visit the site and proposed a possible group visit in the Fall. Harry stated that we are trying to settle on a name for the new site since it will no longer be in the Myrtle Grove area and is without one distinct neighborhood. Current branch name suggestions have been; Southeast, Mid-town, Pine Valley, South College, 17th Extension, Crossroads. Story Park Update Construction is underway and we have been extremely pleased with Bordeaux Construction. We did have a couple of situations that have been addressed. 1. The Library received a post on their Facebook page regarding the Japanese Mable that was in the park. A local family stated that the tree has been donated in memory of their father. The library was unaware of the donation because it had been made to the City. The family is listed on the plaque in the park, but there was no records regarding a tree. Mr. Tuchmayer has spoken with the family and arrangements will be made to review the park plans to see what we can do. 2. While digging up the sidewalk by the library doors, we discovered that basement is closer than we thought. There will be a slight delay while it is determined how to correct this issue. Minutes 06 16 2016 LAB Page 4 The project has sparked new ideas for the park. We have purchased 5 gallon bucket lids to be used a checkers in the park. We are also looking into animal track stamps to be placed in the parks walkways. Wood from the trees that were cut down has been donated to the Salvation Army for firewood to needy families. Bordeaux Construction has the wood hauled there for us. The tentative opening day is Saturday, October 1st. Adjournment There being no further business, Chair Paul Smith adjourned the meeting at 3:25 p.m. Our next meeting on August 18th will be held at the Main Library.
