Board Members Brewington, Jan PRESENT Chadurjian, Denise Excused Conlon, Dennis PRESENT Damutz, Amy PRESENT Montwieler, Katherine PRESENT Shore, Sam PRESENT Smith, Harriet PRESENT Smith, Ida PRESENT Smith, Paul PRESENT Taylor, Rebecca Excused Walker, Bradford PRESENT Zimmer, Ronna PRESENT Staff Members & Board Reps. Margie Hickman (FOL Rep), Harry Tuchmayer (Director), Paige Owens (Asst. Director) Chair Sam Shore convened the meeting at 2:04 p.m. Agenda Review Katherine Montwieler moved to approve the agenda. Motion was seconded by Harriet Smith and passed. Approval of previous minutes The minutes from the last board meeting on October 18, 2018 were sent to the board prior to the meeting for review. Motion: Ronna Zimmer MOVED, SECONDED by Katherine Montwieler, to recommend approval of the LAB 10/18/18 minutes as written. Upon vote, the MOTION WAS CARRIED UNANIMOUSLY. Friends of the Library Report Margie Hickman presented the following report:  Friends considering giving opportunities for Pine Valley Branch  Board is planning a tour for Friends of the Library at Hunt Library and Chapel Hill Public. Event delayed by Hurricane Florence and now scheduled after the holidays  Thank you ad for staff emergency response was published in the Star-News and shared with the board.  Friends is focusing on outreach to get more members and more active membership  The Friends are having their first online annual meeting Foundation Board Report Ronna Zimmer presented the following report:  Agreed to give $50,000 to Pine Valley Branch for a mini outdoor amphitheater  Preparing the annual letter that usually brings about $10,000 Minutes 11 15 2018 LAB Page 2  Agreed to give $15,000 to library for projects next year Director’s Report Harry Tuchmayer presented the following report:  Loss of September due to Hurricane Florence has been overwhelming  Pine Valley delayed a bit. Original substantial completion date was December 11. That date is now February 19 for substantial completion. March 19 is when the building should be completely turned over to the library. Public opening scheduled around April 1.  Plans are underway to hold a donor/volunteer evening open house with refreshments provided by the Foundation. That is expected in March.  Staff are involved in a hiring process in anticipation of opening of Pine Valley. Six positions were advertised and we have been interviewing extensively. Hoping to get everyone on board by February.  First week in January we are planning to expand hours at Pleasure Island to match hours at all our other locations  Book sale delayed until this coming weekend because of the storm  We donated thousands of books to NHC Schools to replace books in school libraries and classrooms New Business Committee Assignments Update on committee assignments. There were no questions or comments Holiday Parade – Sunday, December 2nd  Children’s Librarian, Jamie Schrum invited the board to participate  3-hour commitment walking Front Street from Walnut to Church  Arrive 4:30  Library provides a hat with a light-up band and a light-up necklace Disaster Preparedness Paige Owens presented a disaster preparedness slide show developed by Jimi Rider for ACLA. Discussion followed. Old Business KPIS Key Performance Indicators Review Harry asked whether the indicators currently being used are the best measures for demonstrating the library’s effectiveness. He explained that some metrics are tied to state and federal recordkeeping Jan Brewington asked if it might be helpful to partner with the graduate school at UNCW for internships to assist with defining measures. Harry explained that a program of that nature would work better at the level of county administration. Bradford Walker suggested additional bullet statements to highlight significant examples of library accomplishments such as taking books to the shelters and donating books to the schools Adjournment There being no further business, meeting adjourned 3:21 p.m. Please note that the above minutes are not a verbatim record of the Library Advisory Board meeting.
