Meeting Notes

1. Introduction of Agencies in attendance
There were approximately 15 agencies represented at the meeting.
2. Introduction of New Hanover County staff
Gwen, Scott, David and Amanda introduced themselves.
3. Introduction of Committee Members & Announcement (see other side)
John read the announcement.
4. Updated Calendar for FY24-25 Process
Gwen briefly went over the calendar changes. Invitations have been sent out to the
committee for all of the meetings. Please respond to the invitations so she'll know if
you're able to attend or not. Amanda reminded everyone that dates can change
towards the end of the fiscal year.
5. FY25-26 Application, Application Instructions and Reporting Form and Training
Updates
Clare emailed some notes to Gwen last week on the application and rubric. Gwen
noted those while going over the application.
In the Agency Info section, it was decided to remove the questions: Which of the
following (if any) fiscal years did you attend or view training; Have you read the FY24-25
Application Instructions; and Have you completed the Non -County Agency reporting form?
These have not been helpful in the past. Add the questions Year Founded, Number of
paid employees, FT, PT, and Contract staff and move Total Agency Budget $ from CEO
section to this section. Under Total Amount of Funding Requested put What will the
funds be used for specifically?
Have the CEO information show up before the Contact Person for Grant
information. Remove Agency Fiscal Year Ends and Agency Turnover Rate.
Regarding the Agency Mission Statement there was some discussion that what agencies
were putting down not making sense or not being correct and whether this statement
is required on any of the documents the application requires. For example, the IRS
Form 990, Articles of Incorporation, or the 5016. Gwen said she would check on it
and get back to the committee.
Under Program/Service Information move Short description of the program to the
Description of Program/Service section at the top. Under Name of Program/Service
put Is this a new program/service; Alignment with NHC Strategy and Which bucket do you
believe this program belongs in?
Agreement to Terms section add I certify I have read and understood the instructions and
training documents provided.
On the Reporting Form and Worksheet change the order of the Expenses and put
Salary and Benefits under Technology before Other Program Costs. On the Reporting
Form Worksheet move the expenses explanation above the salary explanation.
6. Other business
Gwen and David will make all changes and email the Reporting Form and Worksheet
to the committee for their input. Once Gwen has met with Communications and
Outreach to make the changes to the application in CivicOptimize she will send out
the link for the application to the committee to take a look at it and play around with
it. At the next meeting we will discuss the notes Clare had on the rubric and any
suggestions or changes.
