Services Manager/Recording Secretary Board Chairman Daniel Perkins called the Executive Committee Meeting to order at 12 noon in the offices of the CVB. ITEM 1: EXCUSED ABSENCES: Angela Rhodes, Secretary ITEM II: RESEARCH/RFP DISCUSSION- Kim Hufham Two RFP companies have sent in quotes-Destination Analysts and Gray Research Solutions. Asking the Executive Board to score the RFP proposals based on the “Study Selection Process and Evaluative Criteria” found on page 8 of the RFP for Visitor Profile and Expenditure Research Study. Discussion points were:  Intercepts- how many? Locations? Three times of a year visit (Fall, Spring and Summer) Sample size?  Accessing additional funds, if needed  Looking at the time of year to study, do we include Winter and pros/cons in excluding Summer  Demographic and geographic challenges to obtain the best results from the area (Wilmington and the beaches have such same but different attractions) Discussion among board members as to the importance of obtaining an accurate Visitor Profile to truly support the Strategic Plan that the NHC TDA Board has adopted to effectively spend marketing dollars to attract visitors to the area. The funding for both RFP company and Arrivalist is $75,000. Kim will reach-out to the RFP companies to ask for more details about the intercepts that each have proposed in their quotes. ITEM III: PRESIDENT’S COMMENTS- Kim Hufham SCHOOL CALENDAR UPDATE: Kim and Connie Nelson from the NHC TDA staff along with Sue and Bill Rippy attended the 6-hour NHC School Board meeting on November 5, 2019. Kim spoke to the school board against the moving the start date of school to early August. Update on the NHC School Board and change in the start date in School year. Upcoming NHC School Board meeting December 3, 2019 Connie Nelson attended the NHC School Board Calendar committee Meeting on November 13, 2019. They will be proposing a more “traditional School calendar” at the next NHC School Board meeting in December. They plan to bring another earlier school calendar start for the 2020-2021 school year. JANUARY GENERAL MANAGER’S ROUNDTABLE- JANUARY 16, 2020 Active Shooter Training session at the Hotel Ballast presented by Lockdown. The workshop will be open to all the NHC TDA board members and others. ITEM IV: OLD BUSINESS/NEW BUSINESS- Update on Arrivalist Arrivalist contract to be signed and their 18-month contract beginning January 2020. The first 6 months will cost $45,000 and $90,000 for the next 12 months. Arrivalist will work along with the company that is chosen from the RFP companies. Arrivalist is already a partner with Simple View. Lisa Wurtzbacher requested a meeting with Kim to discuss updates personnel handbook information and questions that NHC Commissioner Patricia Kuesk has about NHC TDA benefits.
