Minutes 11 20 2014 LABMinutes 11 20 2014 LAB Page 1 Library Advisory Board November 20, 2014 Assembly: The Library Advisory Board met in Regular Session on Thursday, November 20, 2014 at 2:00 p.m. in the Board Room of the New Hanover County Public Library, 201 Chestnut Street, Wilmington, NC. Members Present: Denise Chadurjian, John Gardner, John Osinski, Harriet Smith, Paul Smith, Elizabeth Stanfield, Emilie Swearingen, Virginia Teachey, Bradford Walker Members Excused: Gwendolyn Brown, Deloris Rhodes, Library Staff Members: Harry Tuchmayer, Paige Owens, Susan DeMarco FOL Rep: Patti Bonner Foundation Rep: Ronna Zimmer The meeting was called to order by Chair, Virginia Teachey at 2:00 p.m. Public Comment and Agenda Review No members of the public were present. Chair, Virginia Teachey asked if any members of the board would like to remove or add any item(s) from the Agenda. Being no changes, the Agenda was approved as written. Approval of Minutes of Previous Meeting The minutes from the last board meeting on October 16, 2014 were sent to the board prior to the meeting for review. The minutes were approved as written. Motion: Denise Chadurjian MOVED, SECONDED John Osinski, to approve the October 16, 2014 minutes as written. Upon vote, the MOTION WAS CARRIED UNANIMOUSLY. Chairman’s Comments Virginia Teachey announced that Ellen O’Malley has left the board because she has accepted a part time position with the Library. Due to her departure, we do have an opening on the board. Correspondence Mr. Tuchmayer stated that he had recently given a presentation to the Wilmington Newcomers Club and distributed a copy of the Thank You card that he received from them. Patti Bonner presented the following report: Highlights - Friends of the New Hanover County Library 2014  Speaker Programs Sponsored with over 1,200 attending o Keven Maurer [No Easy Day], Downton Abbey Revisited with Dr. Paul Townend [UNCW History Department Chainman], Tim O’Brien [The Things They Carried], Lifestyle Wellness Panel, Hollywood East panel, Dr. William Ferris [The Storied South], Jim Magyar [Viet Nam Through the Eyes of an Artist], Bonnie Monteleone [Plastics in the Ocean], Tonia Lovejoy [One World Map, The Beautiful Nation Project], Frank Amoroso [Behind Every Great Fortune] and Wiley Cash [A Land More Kind than Home, This Dark Road to Mercy]  2014 Book Sales raised over $117,000 for Library Services  Mini Grants for Library Services  Legislative Day in Raleigh  Literacy Council Spelling Bee Team/Fans  Children’s Programs Support/Supplies  Friends Web Site Improvements  Volunteer Recognition In addition she reported that the board is desperate for new members. They are a working board, so they are looking for new members who are willing to do the work required. Library Foundation Report Foundation Rep. Ronna Zimmer reported the following:  The fall fundraiser brochure has been mailed out. She recognized Karen Trainia and Paige Owens for their outstanding work on this year’s brochure. Our goal is to raise $10,000.  The board has decided to host a luncheon fundraiser in February. This will become our annual event. Ronna has made arrangements for Shane Fernando, the head of CFCC Performance & Education Center, to be the speaker at the February luncheon. The date is still TBD, but will be held at the Northeast Branch Library. Director’s Report Harry Tuchmayer distributed the Director’s monthly reports to the board prior to the meeting. In addition to the items covered in the reports, he reported on the following:  Mr. Tuchmayer gave the board a brief overview of the Friends & Library Foundation Groups to explain how each board came to be and what their duties are.  We have just received confirmation that the Library was awarded a $4,600 LSTA Grant to create a Production Media Lab at the Main Library. The lab will enable patrons to book a room that will contain equipment needed to produce websites, to Skype and write blogs just to name a few. We will be transforming Study Room D into this Media Lab.  We hosted a very successful Games Day at the Main Library. We partnered with PNC Bank who provided giveaways based on financial literacy, 50 pizzas and two popular Disney characters .  Three (3) new part time staff members have recently been hired. Minutes 11 20 2014 LAB Page 3  We are very close to making a decision on the Myrtle Grove site. Harry Tuchmayer & Paige Owens have presented plans to the County Managers and we are looking at new sites in the area. We plan to have more to report at the next meeting. Old Business Carolina Courtyard Update The RFQ meetings for the Carolina Courtyard Park were held to select an architect for the expansion project. Huffman out of Raleigh was selected and they are formulating a quote. Our goal is to have something to present by June 2015 to the County Commissioners for them to approve the concept. The project will be done in phases due to cost. Advisory Board Update Virginia Teachey presented to the board a brief version of the LAB presentation she presented to the County Commissioners. New Business Staff Training All Library Staff attended two half day courses conducted by Coastal Care. Holiday Schedule Harry Tuchmayer sent all members a copy of the proposed Library 2015 Holiday schedule prior to today’s meeting. He reviewed all the dates with the board. The Library would like to recommend this schedule for approval. Motion: Bradford Walker MOVED, SECONDED Ashley Garner, to approve the Library 2015 Holiday Schedule as written. Upon vote, the MOTION WAS CARRIED UNANIMOUSLY. Meeting Room Fees The library would like for the Policy Committee to look at the consideration of charging a nominal Admin booking fee to all meeting rooms. The concept was discussed and the board agreed to add this to the next agenda. NHC Ready to Read Children’s Librarian, Susan DeMarco, reported that this department has two halftime library employees and two half time grant employees who go to daycare centers to work with children, teachers and parents. .  The Smart Start Raising a Reader focuses on families sharing books with kids. The take Red book bags to homes and to three day care centers. Once the child graduates, they are awarded a Blue book bag to use in the library.  Reach Out and Read is a program where local Doctors prescribe books for kids at their well check appointments (ages 6 months to 6 years). There are two practices (Cape Fear Pediatrics and Med North) on the program and they distribute approximately 300 – 350 books per month.  NHC Ready To Read reaches approximately 300 kids and 39 adults per month (ages 5 and younger) through story times and classroom books. They provide Math & Science Minutes 11 20 2014 LAB Page 4 kits used in 18 Pre-K classrooms and at all four libraries. They also provide Math & Science programs at the libraries monthly. In addition they have partnered with:  NHC Health Dept. – Creating a mini library in WIC & Clinic waiting rooms. At WIC appointments, books are given to kids ages birth to 5.  Various Programs and 30 financial learning kits have been created thanks to a PNC Bank Grant.  Jr. First Lego League for elementary school kids including robotics kits.  We’ve applied for a 3-D Printer for our Young Adult library services association. Other Comments Little Free Libraries Emilie Swearingen announced that Island Women & Men have agreed to install Little Free Libraries at Kure & Carolina Beach. They hope to have them installed by mid-March. Harry Tuchmayer stated that the Library would be happy to seed the boxes with books.
