Minutes 10 20 2016 LABMinutes 10 20 2016 LAB Page 1 Library Advisory Board October 20, 2016 Assembly: The Library Advisory Board met in Regular Session on Thursday, September 15, 2016 at 2:00 p.m. at Main Library in Wilmington, NC. Bonner, Patti (FOL) EXCUSED Zimmer, Ronna (LF) PRESENT Tuchmayer, Harry PRESENT Owens, Paige PRESENT The meeting was called to order by Chair, Paul Smith at 2:05 p.m. Public Comment and Agenda Review Public Comment No members of the public were present. Agenda Chair, Paul Smith asked if any members of the board would like to remove or add any item(s) from the Agenda. It was requested to add the following:  Site Visit to New Business  Architect session on Pine Valley Branch for November meeting With the addition, the Agenda was approved. Approval of Minutes of Previous Meeting The minutes from the last board meeting on 9/16/16 were sent to the board prior to the meeting for review. Motion: Brad Walker MOVED, SECONDED by Denise Chadurjian, to approve the 9/16/16 minutes as written. Upon vote, the MOTION WAS CARRIED UNANIMOUSLY. Minutes 10 20 2016 LAB Page 2 Correspondence Harry Tuchmayer stated that we have gotten some great press on our new Story Park. Friends of the Library Report Patti Bonner was unable to attend today’s meeting, but submitted the following report via email to the board: As Friends members you should all receive the attached (flyer) in a week or so. It's an invitation to the Friends Annual Meeting. You should also see the flyer in small posters up in all the Branches and a further shortened form on bookmarks. Our website has the details of the proposed Officers and Board Members for 2017 as well as the full version of our proposed By- Laws and Structure. At the top of every page is a link to a 2 question survey. Responding will help us a lot with estimating the number of people to expect. After the Business meeting, the Principal at Vines Architecture, Victor Vines, will summarize the plan so far for the Pine Valley Branch and invite comments/question/suggestions from the audience. Photo galleries for the Fall Book Sale, Literacy Council Spelling Bee, Story Park Grand Opening and the Friends Volunteer Welcome Center are posted and all will soon be available for public viewing at: photos.nhclibraryfriends.org Library Foundation Report Ronna Zimmer reported that the will hold their next meeting in November. Director’s Report Harry Tuchmayer submitted the Director’s Report prior to the meeting. In addition, he discussed the following: Hurricane Duties During Hurricane Matthew, all county employees are required to work assigned 12hr. shifts. The Library had about 14 staff members who were called up to work. On Friday 10/7, the County decided to close to the public at 3pm. Since the Myrtle Grove branch had all but one employee being called in to work a shift, their branch had to close at noon. Story Park The Ribbon Cutting was held on Tuesday, October 11th. We had great attendance and many members of our various boards were on hand. Paige Owens shared a video of our park that is available on NHCTV. Committee Reports None at this time. Minutes 10 20 2016 LAB Page 3 New Business Nominating Committee Paul Smith stated that the committee would like to submit the following persons for the upcoming slate of officers to the LAB:  Chair – Amy Damutz  Vice Chair – Denise Chadurjian  Secretary – Harriet Smith Paul Smith asked for other recommendations from the board. Being none, he asked the board for a vote on the recommended slate of officers. All approved and the nominations were accepted. Motion: Ronna Zimmer MOVED, SECONDED by John Gardner, to approve the slate of officers submitted. Upon vote, the MOTION WAS CARRIED UNANIMOUSLY. Amy Damutz will begin working with the Harry Tuchmayer to prepare the LAB annual report that will be presented to the NHC County Commissioners on November 14th. LAB Committee Assignments Paul Smith distributed copies of the LAB Committee Descriptions and discussed the responsibilities of each. The board was asked to select a committee they would like to sit on and submit their preference to Amy Damutz or Harry Tuchmayer. Pine Valley & Site Visit Harry Tuchmayer stated that, this board and the Foundation board have expressed interest in meeting with Vines Architects and visiting the site of the future Pine Valley Library. Our next meeting on November 17th meeting is also a board meeting date for the Foundation. Since both boards will be together, he proposed that we all meet together in the Harnett Room at the Main Library at 1:00 for a mini charrette with Vines. Currently, the library is working on assessing our site needs to determine the building size. We feel that a site visit in January would provide us with a clearer vision of the space we will need to occupy. Old Business Social Media Policy Paige Owens had emailed the draft copy of the Library’s Social Media policy to the board prior to the meeting. Discussions on the content, suggestions and input for changes to the policy were shared at the meeting and will be made to the policy. Once the next draft is ready, it will be redistributed to the board. Minutes 10 20 2016 LAB Page 4 Strategic Plan Review Harry Tuchmayer had distributed copies of the library’s existing Strategic Plan at our last meeting for review. Today he submitted the Library’s FY15-16 Accomplishments and Performance Indicators to the board. The board reviewed and discussed the impacts, indicators, and collection measures. Suggestions were made that will be implemented in the new plan. Other Andrew Jones, suggested that the board get together in December as a chance to meet socially. The board agreed and Andrew will start making plans. Adjournment There being no further business, Chair Paul Smith adjourned the meeting at 3:35 p.m. Our next meeting will be November 17th at 1:00 at the Main Library. This meeting will be held in the Harnett Room at the Main Library. This board and the Foundation will meet with Vines Architects.
